Access and User Management > [!WARNING] > Note: You will need to have an **Active, Cancelled, Suspended or Expired certificate** to have access to traceability**.** Please make sure your certificate is **Active** and up to date if you want to perform traceability. To access traceability, must be done by logging into MyRA platform. In MyRA, you can assign designated users with the **Traceability role** to ensure users can access traceability. To assign the traceability users you will need to: - **Go to the Organization tab** on the MyRA platform. - **Open the Members section.** - **Select the designated user** and assign the user role by clicking the pencil icon. - Any user with MyRA Administrator role can click +Invite members" button to invite other colleagues into MyRA and the organization. ![](https://cdn.document360.io/929f3fed-0f9d-454a-80e4-d7496bf45e88/Images/Documentation/traceability-guidance-chainpoint-2026-3-image-pvyj5emv.png) Within traceability, there are two types of users: **Traceability User:** Can carry out traceability activities on the platform. **Traceability Viewer**: Can access the traceability tile and review activities but does not have permission to make changes or perform actions. ![](https://cdn.document360.io/929f3fed-0f9d-454a-80e4-d7496bf45e88/Images/Documentation/traceability-guidance-chainpoint-2026-3-image-74jp76so.png) Once the role is assigned, click on the “save changes” button. The corresponding individual will gain access to the **Traceability tile**, which provides detailed records of traceability activities, supporting accountability and compliance across the system. > [!NOTE] > Note: For detailed guidance on managing users and roles, refer to Section 3: [Getting Started with MyRA for All Users](https://knowledge.rainforest-alliance.org/docs/getting-started-with-myra-for-all-users#32-assigning-roles-to-members) You can access the Traceability platform directly through the **MyRA Platform**. Simply log in to your MyRA account with your username and password using the MyRA link at [https://my.ra.org.](https://my.ra.org) After logging in, go to the “**Your Essentials**” section, where you will find the traceability tiles: **Traceability (Multitrace):** Opens the Multitrace system, which covers most crops. **Traceability (Nuts):** Opens the new traceability system, dedicated specifically to nuts. ![](https://cdn.document360.io/929f3fed-0f9d-454a-80e4-d7496bf45e88/Images/Documentation/traceability-guidance-chainpoint-2026-3-image-crsno10n.png) Click on the tile applicable to you. Definitions ### 2.1 Traceability Levels | **Identity Preserved (IP)** | The Rainforest Alliance Certified (RAC) product can be traced back to the specific farm Certificate Holder. **Mixed IP** is a subtype of Identity Preserved: the RAC product is traced back to more than one RAC farm Certificate Holder. | **Physical** **Traceability** | | --- | --- | --- | | **Segregation (SG)** | The RAC product cannot be traced back to the specific farm Certificate Holder; however, the product content is fully RAC and is kept segregated from other non-certified products throughout the supply chain. | **Physical** **Traceability** | | **Mass Balance (MB)** | This allows a Certificate Holder to claim a product which is not certified as Rainforest Alliance Certified (RAC), when the equivalent quantity was sourced as RAC. | **Administrative traceability** | ### 2.2 Other Terms related to Traceability | **Certified Volume** | The volume assigned in the certification process to a farm certificate holder, based on a harvest estimate and any carryover indicated from a certification body. | | --- | --- | | **Standards** | The SAS volume refers to the portion of product volume that is directly linked to compliance with the **Sustainable Agriculture Standard**. This means that the volume recorded under SAS is the certified volume connected to the organization’s valid certification. The RAS volume refers to the portion of product volume that is directly linked to compliance with the **Regenerative Agriculture Standard.** This means that the volume recorded under RAS is the certified volume connected to the organization’s valid certification scope when Regenerative Agriculture is included. The SAS+RAS volume refers to the portion of product volume that is simultaneously linked to compliance with both the **Sustainable Agricultural Standard (SAS)** and the **Regenerative Agriculture Standard (RAS)**. This means that the volume recorded under SAS+RAS is the certified volume connected to the organization’s valid certification scope when **both standards** are applied together. | | **Certified Product** | The volume designation when the Certified Volume is converted into another sub product in the system by the farm certificate holder (e.g., a tea farm converting their green leaf certified volume to made tea) | | **Stock** | A Rainforest Alliance Certified volume of a product, its variety, classification, and traceability level. A stock is created when an estimated volume of a product is certified, attached to a license, and after each activity including, transaction, mix, conversion, or downgrade. | | **Single-Ingredient product** | A product that includes only one crop or ingredient. For example, a bag of ground coffee would be classified as a single ingredient. | | **Multi-Ingredient product** | A product that includes more than one ingredient, of which at least one is Rainforest Alliance Certified. For example, a chocolate bar for which Rainforest Alliance Certified cocoa has been sourced and contains multiple other ingredients. Other examples of multi-ingredient products are vanilla ice cream, ready-to-drink tea or coffee, herbal tea blends, flower bouquets, or chocolate hazelnut spread. | | **Reference** | An identifiable number used in a trade between supplier and client. Some examples include purchase order numbers, container numbers, contract numbers, etc. | | **Available volumes** | The amount left to sell or process in the system in the stock overview. | | **Depleted volumes** | Certified volume or stocks that have been consumed or exhausted. | | **Variety** | A different type of commodity (e.g., Arabica coffee, Black tea). | | **Classification** | A specific designation of quality of a commodity (e.g. Arabica Grade 1, Robusta Superior). | | **Stock ID** | A unique identifying code used for volumes in the system. | | **Unit** | The unit of measurement that a volume is traded in (e.g. kg for cocoa beans, boxes for some fresh fruits, stems for flowers, or liters for ready-to-drink coffee or tea). The unit of measurement can vary per crop. | ## 3. Home Section When you enter the traceability platform, you will land directly on the **Home** page. This page serves as your starting point and includes: - **Welcome message:** A brief introduction to the platform. - **Quick Start Guide:** An overview of the main steps you will need to follow. - **Useful links:** Access important documents such as the **Traceability User Manual Guidance, Traceability Annex, and Traceability Guidance.** - **Excel templates:** Downloadable templates to carry out multiple actions on the platform. Managing Multiple Accounts If you handle traceability activities for more than one company account, remember that you must be registered as a user in each of those accounts. This allows you to switch between them directly in the traceability platform, without needing to return to MyRA. To change accounts, use the **“Company Unit Selection”** option at the top of the page. Add New Trade Partner To carry out traceability, you must declare other company accounts as trade partners first. This establishes a traceability relationship with them, which is required to carry out transactions. To add trade partners: - Go to the **Company** section. - Click on **Trade Partners** under the Company column. ![](https://cdn.document360.io/929f3fed-0f9d-454a-80e4-d7496bf45e88/Images/Documentation/traceability-guidance-chainpoint-2026-3-image-3pp4b3qv.png) - When adding a new trade partner, select whether you are the **buyer** or the **seller**. - Enter the name of your trade partner’s company account. - Once selected, the **City**, **State/Province**, and **Company** fields will be filled in automatically. - Make sure the trade partner’s status shows as **Enabled**. ![](https://cdn.document360.io/929f3fed-0f9d-454a-80e4-d7496bf45e88/Images/Documentation/traceability-guidance-chainpoint-2026-3-image-vd2zpqfu.png) - Define the **commodity relationship**: - **Choose the commodity you will work with (This is needed if you want to trade).** - Depending on your role (buyer or seller), select the appropriate option: **Trusted Buyer**, **Purchase Authorization**, or **Trusted Seller**. | **Trusted Buyer** | This option can only be set by the seller. Enabling this means that a purchase transaction will be automatically confirmed by the system on behalf of the seller. This does not apply to existing to be confirmed transactions. | | --- | --- | | **Purchase Authorization** | To be set by the seller. This enables the buyer to purchase from the seller, and the buyer can select stocks of the seller as part of the Transaction. | | **Trusted Seller** | This can only be set by the buyer. Enabling this means that a sales transaction will be automatically confirmed by the system on behalf of the buyer. Add New Product To carry out traceability, you first need to create products on the platform. A product is essential because it represents what will be transacted. Keep in mind that you must create at least one product for each commodity you are working with and that this product is the one reflecting in the transaction certificate. **How to add a product:** - Go to the **Products** section on left side panel - Fill in the general information: - Click +Add button and enter the **product name**. - Select the **product type** (single ingredient or multi‑ingredient). - For more details on these types, see **Section 4.2**. - Choose the **commodity** and **sub‑product**. - At the product status of **Active** (select “Yes”). - Click **Save** to finish. ![](https://cdn.document360.io/929f3fed-0f9d-454a-80e4-d7496bf45e88/Images/Documentation/traceability-guidance-chainpoint-2026-3-image-5fyxtie3.png) ## 7. Stock Section The stock section shows what you have available to transact, convert, or mix in the system. Each line in the overview represents a stock or volume. You can utilize the filters to search for different stock positions that are still available for use. Also, if the Aggregation rule option is set it will be less lines of data as stocks with similar characteristics aggregate together. ### 7.1 Stock Information When you click on a stock, you will be able to access the following details: - **General details**: Includes Stock ID, mtt_id, Date of creation, Owner, Commodity, Product type, Sub‑product, Product, Product ID, Stock type, Available volume, Pending volume, Initial volume, Unit of measurement, Start date, End date, Traceability level, IP Company, Reference, Reference value, Premium, Standard, and Variety. - **Country of Origin**: The country from which the stock’s volume originates. - **Producer:** The producer responsible for the volume. - **Stock History**: A record of all volume movements associated with the selected stock. ## 8. Transactions ### 8.1 Sale Selling allows you to report a trade volume from your stock position to a buyer, representing one or multiple physical deliveries. The information in the transaction (volume, quality, etc.) must be the same as the information reflected in the documentation accompanying the physical trade(s). Once you make a sale trade, a trade transaction ID will be generated which will appear as a log in your Transaction Section. References are mandatory and can be chosen from a list of options and enter identifying text in the reference value box. (e.g., Contract #, B/L, PO, Container #, Lot #, Consignment #, Vessel Name, ICO shipment mark, Seal Number, Local #, or Warehouse #). - Select at least one of the references as Main Reference. ![](https://cdn.document360.io/929f3fed-0f9d-454a-80e4-d7496bf45e88/Images/Documentation/traceability-guidance-chainpoint-2026-3-image-z7zawzcq.png) ### 8.2 Purchase > [!NOTE] > Note: To perform this action, please make sure you set properly your trade partner, that means that you need to make sure your supplier has set you up as a trusted buyer and gave purchase authorization for more information you can refer to [Section 5](/v1/docs/new-traceability-platform-user-manual-guidance#5-add-new-trade-partner). The **Purchase** function allows you to record the trade volumes you are receiving from a seller. In practice, it works very similarly to the **Sale** screen, the layout, fields, and steps are almost identical. The key difference is that you are reporting what you bought from your supplier. When using the **Purchase** option, you will: - Enter the **general information** (such as activity date, seller, and optional comments or supporting documents). - Select the **stock details** being purchased. The system will auto‑fill fields like volume, unit of measurement, traceability level, standard, and incoming product. You can adjust the volume if you are only receiving part of the stock. - Add **references** to link the purchase to relevant documentation (e.g., Contract #, B/L, PO, Container #, Lot #, Consignment #, Vessel Name, ICO shipment mark, Seal Number, Local #, or Warehouse #). Just like selling, once you save the purchase transaction, the system generates a **Transaction ID** that will appear in your **Transaction** section. This ensures that both sides of the trade, sell and purchase, are traceable and aligned with the physical documentation. ### 8.3 Premiums For all trades that are created from Certified Volume or Certified Product, the field for Premium will be displayed. If Premium requirements are required for that crop, fill in fields as required per the standard (see [Premium Annex](https://knowledge.rainforest-alliance.org/docs/premium-annex-v14)). To add a premium, enter the dollar amount agreed upon in the buyer/seller contract **per metric ton (MT)**. In the **Premium Agreed Amount** field, the platform will automatically calculate the total premium based on the per metric ton (MT) rate and the transaction volume. Confirming Transactions ### 9.1 Confirm Confirming transactions is a requirement for traceability. To confirm a transaction: - Go to the **Transactions** section. - Select the transaction you want to confirm by clicking on it. - Review the details and check that the status shows **“To be confirmed.”** - Click the **Confirm Transaction** button to finalize. ![](https://cdn.document360.io/929f3fed-0f9d-454a-80e4-d7496bf45e88/Images/Documentation/traceability-guidance-chainpoint-2026-3-image-ej3x9745.png) #### 9.1.1 Multiselect Confirmation To confirm multiple transactions at one: - - Go to the **Transactions** section. - Review the details and check that the status shows **“To be confirmed.”** - Select the transactions you want to confirm by ticking the box to select the transactions you want to confirm. ![](https://cdn.document360.io/929f3fed-0f9d-454a-80e4-d7496bf45e88/Images/Documentation/traceability-guidance-chainpoint-2026-3-image-t4wl6pnk.png) - - Click the **Confirm Transaction** button to finalize and bring the volume into your account. ![](https://cdn.document360.io/929f3fed-0f9d-454a-80e4-d7496bf45e88/Images/Documentation/traceability-guidance-chainpoint-2026-3-image-dn4rr7jr.png) ### 9.2 Update Prior to confirming a transaction, if you or your buyer requests that you change the details, you can update the details by selecting Update. To withdraw a transaction: - Go to the **Transaction** section. - Select the transaction. - Check the “to be confirm” status. - Click the **Withdraw Transaction** button. ![](https://cdn.document360.io/929f3fed-0f9d-454a-80e4-d7496bf45e88/Images/Documentation/base64-converted-image-1786595542668.png) ### 9.4 Reject If a transaction declared to you was done incorrectly, you can reject the transaction. Manufacturing The **Manufacturing** section is designed for creating and managing processes such as **mixing, conversions, and multi‑ingredient products**. This section allows you to record how raw materials or single‑ingredient products are combined, transformed, or converted into new products that can then be traced through the platform. ### 10. 1 Conversions At Manufacturing you can reflect your processing activities and change the product into an available subproduct. To perform this action, you will need to know the raw material volume input you are using and either the output volume or the conversion rate between the input and output. > [!WARNING] > Conversions are only allowed in the forward direction of physical processing. The system will let you perform conversions based on the activities listed in your certificate. > [!NOTE] > Before starting, make sure you have already created the output product ([see Section 6 for instructions](/v1/docs/new-traceability-platform-user-manual-guidance#add-new-product)). This enhances the credibility of traceability. Example: Mixing the Origin (Creating Mixed IP). Select one or more IP positions with different values for Certificate Holder of Origin. These could include semi-finished or final products like chocolate couverture, ready-to-drink tea, herbal tea mix, or chocolate hazelnut spread, to name a few examples. Your product contains multiple ingredients; therefore, you can select another position and select additional ingredients. Report manufacturing represents how much certified volume for a given commodity, and its corresponding subproduct(s) will result in an output volume that accounts for all the ingredients being used. For example, if a chocolate bar is created with cocoa liquor and cocoa butter and contains other non-certified ingredients (such as sugar), you will indicate the amount used of certified cocoa butter and liquor in the ingredients you would like to add, and the output volume would reflect the total chocolate (certified ingredients plus non-certified ingredients) of the final product. Redeem The activity 'Redeem' marks the end of the online traceability system for Rainforest Alliance Certified products. Companies must report on the stock activity of Redeem for all Rainforest Alliance Certified volumes when the certified product is packaged and labelled as certified. If the brand owner is a retailer or Out of Home brand, and they have opted in to traceability reporting, then a sales transaction of the certified product is issued. Remove Volumes must be removed from the traceability system if: - they are spoiled (due to mold, pest, fire, etc.) hence cannot be used. - sold under another certification scheme that is not Rainforest Alliance or sold as conventional. In case of mass balance, the certified volume can physically be sold onwards as conventional, and corresponding mass balance stocks may be kept. Aggregation Rules You can adjust certain settings for each commodity in the Aggregation Rules option. The Aggregation Rules will allow users to merge all trades for the indicated traceability level of similar characteristics into one stock position upom confirmation of a trade (i.e., commodity, subproduct, variety, etc.). This setting can be used to help make administration of the traceability system easier.
